Position: Payroll Specialist/Assistant Accountant

Job Objective:  Maintain accurate and timely processing of payroll and personnel files; Administer staff insurance; Process and track unemployment and DBL claims; Assist with general ledger maintenance of various companies.

 Duties and Responsibilities:

  • Payroll and Time and Attendance Administration:  Responsible for all aspects of multi-state (and Canadian) payroll processing, including set up of new staff in payroll and time and attendance system; Transmission of payroll in accordance with payroll schedule; Monitor hours worked including overtime; Track paid time off.
  • New Staff Member/Terminated Staff Member Processing:   Classify staff as salary or hourly in accordance with labor laws; provide new staff orientation and training; Terminate staff members.
  • Staff Member Personnel Files:  Create and maintain required documents in staff member personnel files.
  • Staff Insurance Administration:  Administer all staff benefits including health insurance, dental insurance, vision insurance, life insurance and disability insurance;  Analyze policies and make recommendations to reduce cost; COBRA administration.
  • Unemployment and Disability:  Process and track all claims.
  • Retirement Plan:  Staff communication and education; Enroll eligible staff: Coordinate with recordkeeper, third party administrator, and investment advisor to ensure plan compliance with all applicable laws.
  • Recruitment:  Write employment advertisements and recruit and interview potential new staff members; Perform reference checks; Prepare offer letters; Write job descriptions.
  • Journal Entries prepare as needed.
  • Special Projects as assigned.

Qualification Requirements:

  • Minimum of two (2) years experience in general accounting including AR & AP.
  • Experience using an accounting package software for GL, AR, and AP.
  • Analytical and thinks outside the box.
  • Detail oriented and organized (in thought and work environment).
  • Good communication skills.
  • Flexible to change and working with multiple personalities.
  • Associates Degree in Accounting preferred.  Bachelors Degree a plus.
  • Thoroughly competent in English, verbal, writing and reading.  
  • Ability to calculate figures and amounts such as discounts, interest, duty/taxes, commissions and percentages.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  
  • Able to obtain detailed technical and/or practical information necessary to carry out duties and responsibilities as described above from appropriate sources. 
  • Proficient in usage of MS Word and Excel, email and the internet.  IBM A/S400 a plus.
  • Able to perform well in a high activity and time sensitive environment.  Able to travel to visit Clients at their locations from time to time.
